Corporate relocation car shipping

Employer billing, consolidated invoicing and one point of contact — so the relocation manager is not chasing a different broker for every employee.

A relocation manager's problem is not usually price. It is that a dozen individual vehicle shipments generate a dozen sets of paperwork, a dozen invoices and a dozen employees calling someone to ask where their car is. Handled badly, the vehicle is the smallest line in a relocation package and the largest share of the complaints.

So the arrangement we set up is administrative before it is logistical: one account, one contact, billing to the employer rather than the employee, and a shipment record the relocation team can see without asking.

How the account is set up

Agreed once, then it applies to every shipment on the account:

  • Billing to the employer or relocation management company, so the employee never puts a vehicle shipment on a personal card and claims it back.
  • Consolidated invoicing, monthly or per project rather than per vehicle, with cost codes if you use them.
  • One named contact at Vector for the account, rather than whoever answers.
  • An agreed authorization process, so we know who can approve a shipment and the employee cannot commit spend by themselves.
  • Net terms for established accounts, agreed in advance.
  • A defined policy on what is covered — one vehicle or two, open or enclosed, and what happens if the employee wants to upgrade and pay the difference.

What the employee experiences

The point of the account is that the employee's side stays simple:

  • They give us the vehicle and the two addresses, and nothing else.
  • No payment, no deposit and no card details at any stage.
  • Door-to-door collection and delivery at their own addresses, not a terminal.
  • A single agent who handles their shipment from quote to delivery.
  • They inspect and sign the Bill of Lading at delivery, which is the one part only they can do.

What the relocation manager gets

Visibility without having to chase it:

  • Status on every vehicle on the account, without contacting each employee to ask.
  • Written quotes on each lane, so a relocation budget starts from realistic numbers rather than guesses.
  • Consistent lead-time guidance per lane, so relocation timelines are built on something real.
  • One escalation point when something does go wrong, which is the thing that actually matters.
  • Documentation suitable for audit: what shipped, when, at what cost, against which cost code.

Planning a group move

Where several employees move together, a few things change:

  • Vehicles going to the same metro within the same window can often share a dispatch, which lowers the per-vehicle cost. Tell us the whole group rather than booking one at a time.
  • Peak relocation season runs roughly May through August, and lead times lengthen across the board. Build that into the project timeline.
  • Confirm whether any employee has a second vehicle, a non-running vehicle or something that needs enclosed transport. Each changes the equipment.
  • Give us the full list early even if the dates are not firm. Knowing the shape of the project lets us plan capacity rather than react to it.

Questions about corporate relocation car shipping

Can you bill our company directly?

Yes. That is the core of the arrangement: billing goes to the employer or relocation management company, the employee never pays anything, and invoicing is consolidated monthly or per project with cost codes if you use them. Net terms are available for established accounts.

Do you handle multiple employees at once?

Yes, and it is worth telling us about the whole group rather than booking one at a time. Vehicles heading to the same metro in the same window can often share a dispatch, which lowers the per-vehicle cost and gives everyone a single delivery date.

What if an employee wants enclosed transport?

That is a policy decision for you, and we will set the account up to match it. A common arrangement is that the policy covers open transport and the employee pays the difference for an upgrade, billed to them separately so your invoice stays clean.

Can we get status without calling each employee?

Yes. The relocation contact on the account gets status on every vehicle on it, which is usually the single most valuable part of the arrangement for the person managing the project.
